Terms of Service

1. Service Provider

TeethPlanning ("we", "us", or "our") is the legal business name providing this Service: browser-based practice-management software with a subscription licence.

Self-serve plans (Free, Pro, Clinic) provide access to the software, which operates through automated systems. No human-driven services are included.

Enterprise arrangements may include human-driven services such as dedicated onboarding, training, and custom development for clinic-specific needs. Custom work is quoted separately under its own statement of work.

2. Acceptance of Terms

By accessing or using TeethPlanning ("the Service"), you agree to be bound by these Terms of Service ("Terms"). If you do not agree to these Terms, do not use the Service.

3. Description of Service

TeethPlanning is dental practice management software delivered through a web browser with a subscription licence.

The Service is delivered through related web surfaces: teethplanning.com provides registration, the account dashboard, subscription and billing controls; app.teethplanning.com provides the clinical application; and server.teethplanning.com provides the backend API used by both surfaces.

4. User Accounts

To use TeethPlanning, you must create an account with accurate and complete information. You are responsible for maintaining the confidentiality of your account credentials and for all activity under your account. Notify us immediately of any unauthorized access. We may suspend or terminate accounts that violate these Terms.

The account dashboard and clinical app validate the same account credentials but maintain separate browser sessions. You may need to sign in separately on each domain, and signing out of one surface may not automatically end the other session. You are responsible for signing out of each surface on shared or public devices.

5. Subscriptions and Payments

The Free plan includes the full core application for up to 5 patients, with no time limit and no payment details required.

Paid plans are Pro ($20 per clinic per month) and Clinic ($39 per clinic per month). Current pricing is always shown on the pricing page.

Purchases are processed by Dodo Payments, which acts as the Merchant of Record for the transaction. Dodo Payments handles payment collection, applicable taxes, and payment security; its consumer terms apply to the purchase alongside these Terms.

Subscriptions renew automatically each billing period until cancelled. We may change subscription prices with 30 days' notice; changes do not affect the billing period already paid for.

6. Cancellation and Refunds

You may cancel at any time using the link in your receipt email or by contacting support@teethplanning.com. Cancellation takes effect at the end of the current billing period, and your clinic then returns to the Free plan. Your records remain accessible in your clinic account regardless of subscription status; the Free plan limits adding new patients, not access to existing records.

Refunds are handled according to our Refund Policy and processed by Dodo Payments as Merchant of Record.

7. Data and Privacy

You retain ownership of all data you enter into TeethPlanning. Patient records are stored in your clinic's account on our servers, transmitted over encrypted connections and accessible only to your clinic's accounts. We host this data solely to operate the Service; we do not sell it or share it with third parties, and we access it only where necessary for operation, security, or support you request. Authentication on teethplanning.com uses browser local storage for account session tokens. Authentication on app.teethplanning.com uses an essential secure, HTTP-only session cookie. Details are provided in the Privacy Policy.

You can export your clinic's data at any time from Settings → Data Management in the app, or by contacting support@teethplanning.com. Upon account deletion, your account data and your clinic's stored records are permanently removed within 30 days.

8. Acceptable Use

• Do not use the Service for illegal purposes
• Do not share your account with unauthorized users
• Do not attempt to access other users' data
• Do not reverse engineer or modify the software
• Do not upload malicious content or viruses

9. Intellectual Property

TeethPlanning, including its design, features, and content, is protected by intellectual property laws. You may not copy, modify, or distribute our software. You retain all rights to the data you create and store in TeethPlanning.

10. Disclaimers

TeethPlanning is a practice management tool and does not provide medical advice, diagnosis, or treatment recommendations. The Service is provided "as is" without warranties of any kind.

11. Limitation of Liability

To the maximum extent permitted by law, TeethPlanning shall not be liable for loss of data, loss of profits, indirect damages, or damages exceeding the amount paid for the Service in the past 12 months.

12. Changes to Terms

We may update these Terms from time to time. Significant changes will be communicated via email or in-app notification. Continued use after changes constitutes acceptance.

13. Governing Law

These Terms are governed by the laws of the jurisdiction where TeethPlanning is registered. Any disputes shall be resolved in the courts of that jurisdiction.
